While the thought of spending time surrounded by nature, roasting marshmallows, and enjoying the quiet of the wilderness sounds fantastic, planning a camping trip for a large group requires some serious preparation. I’ve had my fair share of group camping trips, and believe me, the more people you have, the more planning you need to do! Let me walk you through how I plan my large group camping trips, so you can have a smooth, fun, and memorable experience.

1. Choose the Right Location

One of the most important steps in planning a camping trip is selecting the perfect location. When you’re camping with a large group, you need a place that can accommodate everyone comfortably. I always look for campgrounds that have spacious sites, enough parking, and good facilities like bathrooms, picnic tables, and fire pits. Some campgrounds offer group sites specifically designed for larger parties, which makes things a lot easier.

Besides basic facilities, you should also consider the activities available nearby. Is there hiking, fishing, or boating? Make sure the campground has something for everyone in your group to enjoy. If you have kids or people in your group who aren’t keen on strenuous activities, pick a location with easy access to gentle nature walks, swimming, or other low-impact activities.

2. Plan Your Dates and Time

When you’re organizing a camping trip for a large group, finding the right dates can be a challenge. Everyone’s schedules need to align, and if you’re heading out during peak camping season, reservations will fill up quickly. I recommend setting a date well in advance, and if possible, sending out a survey or group poll to figure out when everyone is available. Also, consider the weather! You don’t want to be caught in the middle of a downpour or sweltering heat. I find that spring and fall are often the best times for camping—cool enough to enjoy outdoor activities but not so cold that it’s uncomfortable.

3. Assign Roles and Responsibilities

With a large group, it’s easy to get overwhelmed with all the details. That’s why I always delegate responsibilities to group members ahead of time. Divide up the tasks like organizing the meal plan, managing the group gear, and even setting up camp. Everyone should have a specific role to ensure things run smoothly. It’s also a good idea to have a designated leader or coordinator to oversee the whole trip, keeping things on track and making sure everyone is informed.

4. Organize Group Meals

Food is a big part of any camping trip, and with a large group, you’ll want to plan the menu ahead of time. I always create a meal plan with simple, crowd-pleasing dishes that are easy to prepare over the campfire or on a portable grill. Cooking in a group can be tricky, so consider meals that can be made in large batches, like chili, pasta dishes, or foil pack meals. You can also bring pre-made meals or ingredients that just need reheating.

Another tip: don’t forget the snacks! Everyone gets hungry while hiking, fishing, or just hanging out by the campfire, so pack plenty of easy-to-grab snacks like trail mix, granola bars, fruit, and chips. Be sure to bring enough water for the entire group as well.

5. Pack the Right Gear

The gear you bring can make or break your camping experience, and with a large group, it’s even more important to have everything you need. Here’s what I always make sure to pack:

  • Tents: You’ll need to determine how many tents are necessary based on the size of your group. If you have families or couples, you can opt for larger tents that fit more people. Don’t forget stakes and a mallet to set them up!
  • Sleeping Bags & Pads: Make sure everyone has a comfortable sleeping bag appropriate for the weather, along with sleeping pads or air mattresses for extra comfort.
  • Camping Stoves & Cooking Gear: If you plan to cook your meals on-site, bring a camping stove, pots, pans, and utensils. Don’t forget the fuel!
  • Lighting: Flashlights, lanterns, or headlamps are essential for night-time visibility. With a large group, consider extra lanterns to illuminate the campsite.
  • First Aid Kit: Always bring a fully stocked first aid kit. Accidents can happen, and it’s crucial to be prepared.
  • Coolers: To keep food and drinks fresh, you’ll need large coolers. I always bring at least two, especially if you’re camping for more than a night.

6. Organize Fun Activities

Camping is about more than just setting up tents and cooking meals. It’s an opportunity to bond with others and enjoy nature together. I love to plan group activities like scavenger hunts, fishing tournaments, and even a campfire talent show! Board games and card games are always a hit in the evening when it’s time to wind down. If your group is adventurous, consider organizing a group hike or a canoe trip.

For families with kids, you can get creative with nature crafts or even organize a nature walk where everyone has to spot certain types of trees, animals, or flowers. Activities like these keep everyone engaged and create lasting memories.

7. Make It Fun, But Stay Safe

Lastly, while it’s important to have fun, safety should always be your top priority. Remind everyone of the basic camping safety rules: how to properly handle a campfire, what to do in case of an emergency, and how to stay safe around wildlife. Have a designated meeting spot in case someone gets separated from the group, and make sure everyone has proper clothing for the weather.

Also, be sure to leave no trace of your visit. Encourage your group to clean up after themselves, pack out all trash, and follow the Leave No Trace principles to help protect the environment for future campers.

8. Enjoy the Experience!

At the end of the day, the most important thing is to have fun. Whether you’re roasting marshmallows by the fire or hiking through the woods, camping with a large group can be a magical experience. It’s an opportunity to disconnect from the daily grind, reconnect with nature, and make memories with those you care about most. So, get your gear ready, gather your friends or family, and head out for an unforgettable outdoor adventure!
